SAMS Caretaker and Estate Management

Since 2001 our job control and mobile working solutions have operated successfully in a variety of market places. However, in order to maximise the benefits of our systems, we believe it is important to adapt and tailor the software for the specific needs of different sectors. Using the reliable base of our MARKUS® AMS product line, and implementing best–practice guidelines from other industries, we have engineered a solution specifically for caretakers and estate managers.

Our Caretakers Specialised Asset Management System combines the simple to use and durable mobile working solution with a remodelled high performance back–office system optimised to provide a convenient package covering the full spectrum of tasks that caretakers, ground staff, supervisors and housing officers need to successfully manage the day to day requirements of estate management.

  • Increased Control

    Provide all operatives with a detailed breakdown of tasks required at an asset/block to deliver a consistent and predictable level of service. Automatically maintain a fully auditable visit list to track your operatives work rates and to allow optimising of visit routes. Fully capture cyclical and irregular tasks to prevent operatives from forgetting to do critical duties.

  • Increased Visibility

    Real–time information flowing back from your operatives means supervisors and housing offices can immediately review the quality of work. Full drill down into performance and quality KPI reports provide immediate access to detailed operative–specific information. Auditable times, better cost recording and customer signatures all combine to give a much clearer and truer picture of the tasks as they are completed.

    Operatives can be easily compared to each other, as well as comparison against predefined benchmarks. Individual blocks can also be compared to allow for preventative action to be taken where needed.

  • Better Financial Reporting

    Immediate completion information is transferred from the operative, without any need for them to return to the office. This allows fully auditable recharging and provides detailed evidence for management service charge levels.

    Full reporting against assets, blocks, estates and areas allows for simple comparison of costs incurred at each level and a control on costs at specific locations.

  • Asset Register

    Included within the system is a simple to use asset register. This can be used to record details of any hazards or health and safety issues at the block. Additionally this can be used to store access details, specifications of appliances and safety equipment, and any other information that would be useful to the operative.

    Where the system integrates with an existing housing system we can interface these site details directly to remove the need to double–key.

  • Configurable Task Lists

    The systems support the setting of specific task lists against every asset and block. Tasks lists can be built from predefined lists of tasks relevant to a range of assets, or tailored to suit an individual property.

    Individual task lists can cater for a wide range of job roles, from caretakers to cleaners, ground staff to estate managers. Each will receive a specific set of tasks relevant to them.

  • Detailed Task Information

    Where tasks include additional information, the operative can enter these on the device. This could include details like meter readings or information about rubbish cleared. Where necessary, the operative can attach photographs to tasks to provide supporting evidence that may be used to generate resident recharges.

  • Disaster Recovery

    The system is designed to run in a secure hosted data centre and is accessed remotely by either mobile devices or a browser for the back office system. The hosted facility provides all the features of redundancy and backup to mitigate against disaster.

    In the event of the failure of a single mobile device the system replicates all the data capture functionality in the back office. This also provides support for operatives who are unable to use a mobile device.

  • Flexible Asset Hierachy

    MARKUS® AMS has a pedigree for working in a large variety of circumstances which means the specialised caretakers system benefits from a flexible approach to your asset hierarchy. We support as many levels as you have. If necessary the system can even provide access to individual appliances on a site, whilst also supporting a many level regional hierachy.

    Typically we have worked with a structure of regional offices, local areas, estates, blocks and assets in use within the social housing marketplace.

  • Further Work

    The system is capable of recording further work requirements. This can generate an interface file or email to the appropriate contractor as well as allowing the operative to attach photographs to detail the work.

    The whole process of ordering and managing further work can be controlled within the system to provide a streamlined service to your residents.

  • Mobile Working

    All the data capture can be performed by the operatives in real–time whilst at the asset on mobile devices. The system supports smart phones, PDAs and tablets including rugged models to capture the detail of tasks being completed as the operative completes them.

    The mobile software has been written with ease of use and speed as core requirements and is based on our successful responsive repairs mobile working solution. This features fully auditable timestamps, secure data storage, reliable comms, and simple to use work flow that allows the device to work even in areas of poor reception. Typically operatives need less than an hours training to unlock the potential of mobile working using this platform.

  • Quality Control Surveys

    As well as managing the day to day work of your operatives and the back–office support and reporting the system will provide a platform for continuously reviewing and improving your service delivery.

    Included within Caretaker SAMS are modules for mobile supervisors to review tasks completed and to score the quality of the work, and a customer portal to allow housing officers and residents review the quality and to record comments.

  • Repetative Scheduling

    The process of managing the sequence of block visits and tasks is managed by the system to provide a simple and efficient method of allocating your operatives their weekly schedule. Due to the highly repetitive nature of caretaker and ground staff visits the system will automatically clone the schedule to provide an ongoing plan of work.
